Working at your event

We fit into your event, not the other way round.

Your event team runs the hall, the stage and the guests. We run the media: a desk at the entrance, a reserved row for reporters, a clear line for cameras, and a person who knows every journalist by name.

Before the day we walk the venue, or study the layout with your team, to fix the camera positions, the sound for questions and where interviews will happen. After the Q&A we keep the spokesperson moving through interviews to time.

Timing for Kolkata desks

Plan around the next morning's papers.

Weekday, before afternoon

We usually advise a weekday start between late morning and early afternoon, so reporters can attend and still file for the next day's editions.

Check the day's news

A big political press meet or a major city event on the same day can empty the room. We check the calendar before the invitation goes.

Festive season

Around Durga Puja and other festivals, desks and venues are busy. Earlier invitations and a strong news line matter more.

Same-day release

The release reaches every desk within hours of the event, while the story is still news.

What you can count on

Our work, and where the editor decides.

We commit to the work: the right list, a clear invitation, calls to every desk, a well-run room and a release that is ready when reporters need it. Whether and how a publication covers the event is its editors' decision, which is what gives that coverage weight.

When the result must be certain, add guaranteed Bengali coverage or national wire distribution through our press release products, alongside the journalists in the room.

Your brief

What we need from your event team.

  • The news line and the spokespeople, with titles as they should appear in print
  • Date, start time and venue, with the hall layout if you have it
  • The agenda: speeches, any demonstration or guest, and the time set aside for questions
  • The modules you want, or the result you need, and we will suggest them
  • Your draft release or the facts behind it, and photos of the spokespeople
  • A named contact from your event team for the day

If you are still choosing a venue, see our Kolkata venue guide.

Kolkata media

Bengali and national desks, from our own city.

Our organic campaign for a Kolkata entrepreneur, the first Indian to finish a marathon at the Geographic North Pole, was carried by 18 publications in English, Hindi and Bengali, from Ei Samay to The Times of India, The Economic Times and ANI. It was a pitching campaign rather than a press conference, and it shows the desks we work with every week.

FAQ

Media relations questions

What does press conference media relations include?

The media side of your event, in three stages: before (media list, invitation and follow-up calls), on the day (media desk, press kits and interview coordination) and after (press release, coverage follow-up and report). You choose the stages you need.

Can I choose only some of the deliverables?

Yes. Many clients take the whole sequence; others take only the media invitation, or only the media desk push after an event they ran themselves.

Do you work at any venue in Kolkata?

Yes: your office, a hotel, Press Club Kolkata, a store, a factory or an event venue. We check the room for camera positions, sound and the media desk before the day.

How many journalists will attend?

Attendance is each desk's decision on the day, and it depends on the story, the date and the news around it. We build the list by beat, call every invited desk and track confirmations, so you know the likely turnout before you arrive.

How soon before the event should we brief you?

A week to ten days lets us build the list, send the invitation three to five days ahead and call every desk. Shorter notice can work for strong news, with a tighter list.

Do you send the release to media who could not attend?

Yes. The release, photos and quotes go to every invited desk the same day, so reporters who could not come can still file.
