VIP Event Press Conference in Kolkata

When a minister, an official or a well-known guest is at your event, the media interest rises and so do the demands on the day. Indian PR Distribution (IPRD)® plans VIP and minister events in Kolkata so protocol is respected, the media have a clear position and a clear news line, and your announcement is not lost behind the guest.

  • Protocolplanned with the guest's office
  • Media positionagreed in advance
  • Your newskept in the story

Why it is news

The guest draws the media; the news must keep them.

A minister or a well-known guest brings reporters, crews and photographers who might not otherwise come. Many of them will also want the guest's comments on the day's other news. Your announcement needs a line strong enough to hold its place in the story.

We plan the event in two layers: protocol with the guest's office (arrival, seating, the order of speakers, timings and any security requirements) and the media plan (who is invited, where they stand, what they get and when they can speak to the guest).

Timings can change at short notice with official guests. We build a run of show that still works if the guest is late or must leave early, with the core announcement made either way.

Two ways to run it

Managed, or at your event.

Managed (Mode A)

We find a venue suited to the guest's requirements through our venue partners, arrange the stage, branding, screen and sound, plan F&B by plate count, coordinate protocol with the guest's office and run the media side. Managed press conference.

Media relations only (Mode B)

Your team or the organisers run the event and the protocol. We handle the media: invitations, positions, the media desk, coordination with the guest's media team, the release and the report. Press conference media relations.

Venue, F&B and production are quoted separately from the media work, on your brief. What drives the cost of a press conference.

The press kit

What reporters need at a VIP event.

  • The release, led by your announcement, with the guest's role stated accurately
  • Names and titles of the guest and every speaker, as they should appear in print
  • A fact sheet on the announcement
  • Photographs of your spokespeople
  • The programme with timings, marked as subject to change
  • The Bengali release

A fuller list is in our press kit checklist.

After the event

From the guest's departure to the next morning.

Release the same day

Sent within hours with your announcement in the first paragraph and the guest's remarks quoted accurately.

Pictures with captions

A selection of the best photographs, captioned with names and titles, to every desk that attended and every desk that could not.

Bengali release

Written natively for Bengali dailies, with the guest's name and title in the form those papers use.

Wider distribution

For an announcement of national interest, add national press release distribution on the same day.

Coverage follow-up

Calls to the reporters filing, extra quotes or figures when they ask, and corrections caught before the next edition.

Report

What ran in print, digital and television, with clippings and links, in one report.

Kolkata media

Bengali and national desks, from our own city.

Our organic campaign for a Kolkata entrepreneur, the first Indian to finish a marathon at the Geographic North Pole, was carried by 18 publications in English, Hindi and Bengali, from Ei Samay to The Times of India, The Economic Times and ANI. It was a pitching campaign rather than a press conference, and it shows the desks we work with every week.

FAQ

VIP event questions

How do you plan a press conference with a minister in Kolkata?

In two layers: protocol with the minister's office (arrival, seating, speaking order, timings and security) and the media plan (invitations, positions, the photo moment and the release). Both are agreed before invitations go out.

Will the media ask the minister about other news?

Often, yes. We plan the run of show so your announcement comes first and your spokespeople take questions on it, whatever else the guest is asked.

What if the guest is late or leaves early?

The run of show is built to work either way. Your announcement and the photo moment can move, and your spokespeople continue the Q&A after the guest leaves.

Do you arrange celebrity guests for events?

Yes, through celebrity association: appearances, availability, fees and contracts arranged on your brief.

Can you work with the guest's own media team?

Yes. We coordinate positions, pool pictures and the release with the guest's media team so every desk gets what it needs.
