"What does a press conference cost?" is one of the first questions we hear from founders and marketing teams planning an announcement in Kolkata. The honest answer is that it depends, and that answer is only useful if we say exactly what it depends on.
This guide sets out the drivers behind the budget, how each one moves it up or down, and what to put in a brief so the quote you receive is accurate. It is written from Indian PR Distribution (IPRD)®'s work running press conferences from Salt Lake Sector V, in both of the ways we run them: managed from venue to coverage, or media relations only at a venue you have booked.
Key takeaways
- A press conference budget has two halves: the event (venue, F&B, production) and the media work (invitation, media desk, release, follow-up, report). Quote them separately so each can be judged on its own.
- The venue category is the biggest single driver. A press club hall, a business hotel and a 5-star ballroom are different budgets before anything else is added.
- Plate count matters more than the menu. Count media, crews, guests and your own team, and check whether the venue sets a minimum.
- Running only the media side at a venue you already have (media relations only) changes the shape of the budget completely.
- A one-page brief, with the news, the date, the guest count and the result you need, gets you an accurate quote the first time.
Two halves of every budget
Every press conference has an event side and a media side, and it helps to see them as separate lines.
- The event: the venue or hall, food and beverage, and production (backdrop, standees, screen, sound, photography and video).
- The media work: the media list, invitations, follow-up calls, the media desk and press kits on the day, interview coordination, the release afterwards, coverage follow-up and the report.
In a managed press conference we run both, and quote venue, F&B and production separately from the media work. In press conference media relations, you run the event and we handle only the media side, chosen as modules. Keeping the halves apart means you can compare venues without the media plan changing, and the other way round.
The drivers, one by one
1. Venue category
The venue sets the tone and the base of the budget. Broadly, Kolkata offers four kinds: the Press Club and similar institutional halls, business hotels, 5-star hotels, and your own premises (an office, store, showroom or factory). Each has a different way of charging: some charge for the hall, some fold the hall into a food and beverage package, and your own premises cost nothing to hire but may need more production.
2. Hall size and layout
A hall that fits 40 comfortably costs less than one that fits 200, and a half-empty large hall looks worse on camera than a full small one. Size the hall to the realistic attendance of media and guests, with room for camera positions at the back.
3. F&B per plate, and the plate count
At hotels, food and beverage is usually charged per plate, and many set a minimum number of plates for a hall. The count is the variable people underestimate: reporters, photographers and camera crews, your guests, your own team and the agency team on the day. Tea and snacks, a high tea and a sit-down lunch are very different per-plate figures.
4. Branding, screen and AV
A printed backdrop and a pair of standees is a modest line. An LED wall, a stage, presentation screens, a sound system with handheld mics for questions and lighting for television is a larger one. Some venues include basic AV; others require their in-house supplier or allow an outside one.
5. Media count and mix
The number of desks invited and the mix (Bengali and English dailies, city and business desks, television, digital, wires) shape the invitation and follow-up work and the plate count. Bilingual invitations and releases add writing time, and they are worth it in Kolkata.
6. Photography and video
A photographer for your own use and for desks that ask for pictures, a video crew, a short social cut, or a live stream for people who cannot attend each add a line.
7. Press kits
A digital kit (a link or QR code to the release, fact sheet and photos) costs little. Printed folders, product samples or branded items cost more, and should be judged by whether they help a reporter write the story.
8. Travel and logistics
Spokespeople or guests travelling from outside Kolkata, their hotel stays, local transport and any out-of-city press conference add to the event side of the budget.
9. Timing and day of the week
Weekends, wedding and festive seasons and short notice all narrow the choice of halls, and a narrower choice usually means a higher figure. A weekday in a quieter month, booked two to three weeks ahead, gives the widest choice.
10. Mode A or Mode B
Running the whole event (Mode A) or only the media side at your venue (Mode B) is the largest structural choice. In Mode B the venue, F&B and production lines are yours, and the media modules can be chosen one by one.
What moves the cost up or down
| Driver | Moves it up | Moves it down |
|---|---|---|
| Venue category | 5-star ballroom, premium address | Press club or institutional hall, your own premises |
| Hall size | A large hall for a small crowd | A hall sized to realistic attendance |
| F&B | Sit-down lunch, high plate count, venue minimum | Tea and snacks, an accurate count |
| Branding and AV | LED wall, stage, lighting for broadcast | Printed backdrop, standees, venue's basic sound |
| Media mix | Many desks, several languages, outstation media | A focused, beat-built Kolkata list |
| Photo and video | Multi-camera crew, live stream, edited film | One photographer, phone-ready social cut |
| Press kits | Printed folders, samples, branded items | Digital kit by link or QR code |
| Travel | Outstation spokespeople and guests | Kolkata-based team |
| Timing | Weekend, festive season, short notice | Weekday, quieter month, two to three weeks' notice |
| Mode | Managed, venue to coverage | Media relations only, at your venue |
None of these is a reason to cut a corner that matters. A smaller hall that is full, a clear backdrop and good sound for questions will do more for coverage than an expensive set.
Add-ons that sit on top
Two add-ons change the result rather than the room, and are priced on their own lines.
- Guaranteed Bengali coverage: a confirmed placement in a Bengali newspaper on the date you need, quoted on your brief by paper, edition and format.
- National wire distribution: the release on ANI, PTI or IANS for national reach on the day, through our press release products. These are the only press figures we publish: SingleWire from ₹11,999 + GST, MultiWire Standard from ₹28,999 + GST and DiscoveryWire Standard from ₹45,999 + GST.
The media desk push, which takes your release to Kolkata desks the same day, is part of the media work in most plans.
How to brief for an accurate quote
A good quote needs a good brief. One page is enough if it answers these questions.
- The news. What is being announced, in two lines, and why it matters to Kolkata or Bengal.
- The people. Spokespeople and guests, and whether any of them travel in.
- The date. Preferred dates, and whether any date cannot move.
- The guest count. Guests beyond the media, which drives the plate count.
- The venue. A preference (press club, hotel category, Sector V, your premises) or none.
- The set. Branding you already have, and whether you need a screen, a stage or a demonstration area.
- The record. Photography, video or a live stream.
- The mode. Whether you want us to run the event, or only the media.
- The result. What must be certain, such as a Bengali placement on the morning after, and what can be left to the desks.
With that, we come back with a venue shortlist where needed and a quote set out line by line: venue, F&B, production and media work, each on its own.
Where the money does the most work
In our experience the best-covered press conferences in Kolkata share a few things, and none of them is the most expensive line: a news line a desk can repeat in one sentence, invitations in Bengali and English sent to the right reporters by name, a start time that lets reporters file for the next day, a spokesperson ready for questions in both languages, and a release on every desk within hours.
Spend first on those. Then choose the room, the plate and the set that suit the story. If you would like help shaping the budget, send us your brief or start with our press conference page.
Frequently asked questions
How much does a press conference cost in Kolkata?
It depends on the venue category, hall size, plate count, branding and AV, photography and video, press kits, travel, timing, and whether the agency runs the whole event or only the media. IPRD quotes venue, food and beverage and production separately from the media work, on your brief.
Is a press conference at Press Club Kolkata cheaper than at a hotel?
In our experience an institutional venue such as the Press Club makes for a lighter event budget than a 5-star hotel, but the right choice depends on the story. A news-led announcement suits the Press Club; a launch with a product display or a lunch often suits a hotel.
What is the biggest driver of press conference cost?
The venue category, followed by the plate count. Together they set the base of the event budget before branding, AV and the media work are added.
Can I reduce cost by running the event myself?
Yes. With media relations only, you handle the venue, food and beverage and production, and the agency handles the media in modules before, on and after the day.
How far ahead should I plan a press conference in Kolkata?
Two to three weeks gives the widest choice of halls and dates. Short notice is possible, with a narrower choice of venues, especially in the festive season.
